Service Agreement & Guest Policies
Welcome to Chic Shades Hair LLC (hereinafter referred to as "CSH").
We are dedicated to providing an elite, health-focused hair care experience for our guests. To maintain the integrity of our services and ensure a serene environment for all, we require all clients to read, understand, and accept the following terms and conditions before finalizing a booking.
1. Scope of Services & Age Requirement
CSH provides professional hair care and specialized color services exclusively for women and girls ages 9 and up. Our primary mission is the long-term health of your hair. We utilize premium products and advanced techniques to ensure your hair remains vibrant and strong. Please note that CSH does not offer on-location or mobile services; all appointments are conducted strictly within our professional salon facility. We do not travel for weddings, events, or private home sessions.
2. Mandatory Color Consultations
To achieve your desired aesthetic while maintaining hair health, all color services require a formal consultation prior to scheduling the actual application. The consultation and the color service are two separate appointments. This allows our stylists to assess the current state of your hair, perform necessary patch tests, and plan the chemistry required for your goals. The consultation fee is independent of the service fee. Please note, your 25% deposit to secure the color service is due at the consultation appointment. If you need to cancel or reschedule the color appointment, please do so 10 days before the color appointment is scheduled.
3. Deposit & Payment
Booking Deposit: A 25% deposit is required to secure any appointment.
Internal Bookings: For appointments scheduled internally, our Phorest management system will automatically charge the saved card on file every Sunday to satisfy the 25% deposit requirement.
Final Balance: All remaining balances are collected via the Phorest terminal at the conclusion of your service using the card saved in our secure system. We do not accept cash.
Refunds: Deposits are refundable only for qualified cancellations made within the appropriate 48-hour timeframe. If the artist or salon must cancel your appointment, your 25% deposit will be returned in full.
4. Cancellation, No-Show, & Rescheduling Policies
We maintain a strict schedule to respect the time of both our stylists and our guests.
48-Hour Notice: All cancellations or rescheduling requests must be made at least 48 hours before your scheduled day and time.
Late Cancellations: Failure to provide 48-hour notice will result in an automatic 50% charge of the total service cost.
Rebooking after No-Shows: Guests who fail to show up for an appointment may only reschedule once the full balance of the missed appointment is settled. Furthermore, all future bookings for these guests will require a 50% deposit.
Excessive Rescheduling: Repeatedly moving the same appointment (three or more times) will result in an automatic cancellation and the forfeiture of your deposit.
5. Arrival Grace Period
Punctuality is essential for the flow of our salon. A 20-minute grace period is extended to all guests. If you arrive more than 20 minutes past your scheduled start time, the appointment must be rescheduled to avoid overlapping with the next guest, and standard late-cancellation fees may apply.
6. Salon Environment & Digital Etiquette
To preserve our "boutique" atmosphere and provide a relaxed environment for all guests:
No Additional Guests: Due to limited space, we cannot accommodate extra visitors, including friends, family, or spouses.
Children: Children are welcomed into the salon only if they are the individual being serviced. Unattended children are not permitted.
Digital Devices: To maintain a peaceful environment, all digital devices (phones, tablets, laptops) must be used with AirPods or headphones. External audio, speakerphone conversations, or video sound are not permitted.
Gratuity: CSH is a non-tipping salon. Our professional rates reflect the full value of our expertise and service; therefore, we do not accept tips.
7. Pricing Transparency & Technology
Level-Based Pricing: Our stylists offer services at various price points based on their unique level of experience and expertise. This allows you to select a professional that aligns with your specific budget and hair goals.
Spectra Color Intelligence: We utilize a precision color management system that measures the exact grams of product used during your service. The final cost of color—determined by your hair’s length, thickness, and density—will be calculated and added to your total at checkout.
Adjustments: Your stylist reserves the right to adjust services based on an in-person assessment of your hair’s needs. We promise to communicate any changes clearly to respect your budget.
8. Right to Refuse
By booking an appointment with Chic Shades Hair LLC, the client agrees to the following legal protections:
Right to Refuse: We reserve the right to refuse service to anyone causing a disruption, exhibiting disrespectful behavior, or posing a safety risk.
9. Media Release & Communications
Promotional Use: CSH may take photographs or videos of your hair for promotional purposes. This includes, but is not limited to, social media platforms (Instagram, TikTok, Facebook), marketing flyers, and our professional website. By booking, you grant CSH the right to use these images. We respect your privacy, so you may opt out of promotional use.
Newsletter: By booking with CSH, you will be added to our digital newsletter to receive exclusive promotions and updates via email. You may opt out of these communications at any time.
10. Feedback & Conflict Resolution Clause
Commitment to Satisfaction At Chic Shades Hair Salon, we strive for excellence and value your honest feedback. If your experience or results do not meet your expectations, you agree to contact Salon Management directly at [346-852-4532/info@chicshadeshair.com] within 48 hours of your appointment to allow us the opportunity to provide a professional resolution or corrective service.
Public Statements & Defamation In the interest of maintaining a professional relationship, both parties agree to exhaust all private resolution efforts before posting public reviews or comments. Please be aware that while we welcome constructive criticism, the publication of false, misleading, or maliciously injurious statements may be subject to legal review in accordance with local defamation and libel laws.
Acknowledgment By booking an appointment, you acknowledge that you have read this policy and agree to act in good faith to resolve any disputes privately and professionally with our management team.
